Vietnam Visa with Code HN – Conference Visa Application Procedure

For foreigners, there are specific visa requirements depending on their purpose: laborers require a work visa, investors require an investment visa, and individuals attending conferences or seminars in Vietnam are obligated to obtain the Vietnam Conference Visa, denoted as HN.
What is the Vietnam Conference Visa with Code HN? The Vietnam Conference Visa with code HN is a short-term visa specifically issued to foreigners attending conferences or seminars in Vietnam. According to the law No. 47/2014/QH13 on entry, exit, transit, and residence of foreigners in Vietnam, foreigners attending conferences or seminars in Vietnam are granted the HN visa for a duration not exceeding 3 months.
Who is Eligible for the Vietnam Conference Visa? Scientists, experts, and foreigners participating in conferences or seminars in Vietnam from countries and regions not exempted from Vietnam’s entry visa requirements are required to apply for the conference visa for their entry into Vietnam.
Requirements for Applying for the HN Visa To apply for the Vietnam Conference Visa, foreigners must meet the following conditions:
- Possess a passport or international travel document with a valid period.
- Have an invitation and sponsorship from an organization, institution, or individual in Vietnam.
- Do not fall into the category of inadmissible persons as stipulated in Article 21 of Law No. 47/2014/QH13.
Documentation Required for Vietnam Conference Visa Application To apply for the Vietnam Conference Visa, foreigners need to follow these steps:
- Apply for the visa through the Vietnamese Embassy in their respective country.
- Or apply for the Entry Approval Letter – Purpose of Attending the Conference at the Vietnamese Immigration Department.
However, for countries without Vietnam’s diplomatic representation, applying for the Entry Approval Letter is the simplest and most convenient way for foreigners attending conferences or seminars in Vietnam.
Here are the instructions for applying for the Entry Approval Letter at the Vietnamese Immigration Department:
For the Guaranteeing Company (Applying for the Entry Approval Letter):
- Submission of the request for the entry approval letter for foreigners to attend conferences in Vietnam, following form NA2.
- Application for the stamp and signature form at the Immigration Department, form NA16.
- Legal documents of the guaranteeing company: business license, investment certificate, etc.
- Copy of the applicant’s passport with a valid period according to regulations.
- Introduction letter of the employee submitting the documents to the Immigration Department.
- Other relevant documents as requested.
For the Applicant (Applying for the Vietnam Conference Visa):
- Original passport with a validity period of over 6 months from the visa application submission date.
- Visa application form for attending the conference in Vietnam, form NA1.
- 02 passport-size photos taken within the last 6 months.
- Copy of the Entry Approval Letter to Vietnam.
- Visa fee for the Vietnam Conference Visa.
Vietnam Conference Visa Application Process for Foreigners
Step 1: The guaranteeing company prepares the complete documentation for applying for the entry approval letter for foreigners following the provided guidelines.
Step 2: Submit the application at the Immigration Department at the following addresses:
- Immigration Department in Hanoi: 44-46 Tran Phu Street, Ba Dinh District.
- Immigration Department in Ho Chi Minh City: 333-335-337 Nguyen Trai Street, District 1.
After document submission, the guaranteeing company will receive a receipt indicating the processing time and collection location (Processing time does not exceed 5 days from the document submission date).
Step 3: Receive the Entry Approval Letter.
Step 4: The foreigner completes the Vietnam Conference Visa procedures.
The foreigner prepares all necessary documents and the visa stamping fee. Then, they collect the visa at the designated time and location mentioned in the Entry Approval Letter. Common locations for obtaining the Vietnam Visa include:
- Vietnamese Embassies/Consulates abroad.
- International airports in Vietnam, such as Tan Son Nhat, Noi Bai, Da Nang, Cam Ranh, Phu Quoc.
- International land border checkpoints, such as Moc Bai, Mong Cai, Huu Nghi, Lao Cai.
Vietnam Conference Visa Fees and Processing Time
- The visa processing fee for the Vietnam Conference Visa (HN visa) is: $25 (for single-entry visas) or $50 (for multiple-entry visas, valid for multiple entries).
- The processing time for the Vietnam Conference Visa is not more than 5 working days from the date of receiving the complete documents and fees. In special cases, the processing time may be longer than expected.
