Vietnam Conference Visa (Designation: HN) – Application Procedures

With the significant economic and commercial growth in recent years, Vietnam has attracted a considerable number of foreign workers, investors, and attendees of conferences and seminars. Foreign workers require a work visa, while investors need an investment visa. Foreign individuals attending conferences and seminars in Vietnam are obligated to obtain the Vietnam Conference Visa, designated as “HN.”

What is the Vietnam Conference Visa (HN)?

The Vietnam Conference Visa, also known as HN visa, is a short-term visa specifically issued for foreign individuals attending conferences and seminars in Vietnam. According to Law No. 47/2014/QH13 regulating entry, exit, transit, and residence of foreigners in Vietnam, individuals coming to Vietnam for conferences and seminars are granted the HN visa, valid for a maximum of 3 months.

Eligibility for the Vietnam Conference Visa (HN):

The HN visa is granted to scientists, experts, and foreign individuals participating in conferences and seminars held in Vietnam, representing countries and regions not exempted from Vietnam’s entry visa requirements. They must apply for a visa specifically for conference and seminar purposes when entering Vietnam.

Requirements for Applying for the HN Visa:

To apply for the Vietnam Conference Visa (HN), foreign individuals must meet the following conditions:

  1. Valid Passport or Travel Document: The passport or travel document must be valid for international travel for the intended duration of stay.

  2. Sponsorship from a Vietnamese Entity: Foreign individuals must be sponsored by a Vietnamese organization, institution, or individual.

  3. Not Falling under Restricted Categories: Applicants must not fall under the restricted categories outlined in Article 21 of Law No. 47/2014/QH13.

Documents Required for HN Visa Application:

  1. Original passport with a validity of at least 6 months from the date of application.

  2. Completed visa application form (Form NA1).

  3. 2 recent passport-sized photos (4×6 cm) taken within the last 6 months.

  4. Copy of the Letter of Approval for entry into Vietnam.

  5. Visa processing fee.

Visa Application Process for Vietnam Conference Visa (HN):

Step 1: The sponsoring company prepares a complete set of documents for the visa application according to the provided guidelines.

Step 2: Submit the application at the Immigration Department at one of the following addresses:

  • Immigration Department in Hanoi: 44-46 Tran Phu Street, Ba Dinh District.
  • Immigration Department in Ho Chi Minh City: 333-335-337 Nguyen Trai Street, District 1.

After submitting the application, the sponsoring company will receive a receipt indicating the processing time and collection details (processing time not exceeding 5 days from the submission date).

Step 3: Collect the Letter of Approval for entry into Vietnam.

Step 4: The foreign individual completes the visa process by providing the necessary documents and visa stamping fee. The visa can be collected at various locations, including Vietnamese embassies/consulates abroad, international airports in Vietnam (such as Tan Son Nhat, Noi Bai, Da Nang, Cam Ranh, Phu Quoc), and international border gates like Moc Bai, Mong Cai, Huu Nghi, Lao Cai.

Visa Processing Fee and Duration:

  • Visa Processing Fee: USD 25 (single-entry) or USD 50 (multiple-entry) for the Vietnam Conference Visa (HN).

  • Processing Time: Not exceeding 5 working days from the date of submitting a complete application and payment. In exceptional cases, processing time might extend beyond the anticipated duration.

Note: The visa processing fee paid to the consular office is non-refundable. The mentioned fees are mandatory and do not cover additional processing costs such as notarization, legalization, or translation.
